Our target is kickoff to launch in 4 weeks. The process starts with a dedicated kickoff call to align on goals and CRM integration, followed by configuration, agent training, and testing. Before going live to your full population, we run a small test batch to validate everything is working as expected, then scale up.
The lift on your team will be primarily a few stakeholders during the initial setup phase. We handle the heavy lifting, and once live, your Program Manager manages day-to-day operations alongside your team.
Day-to-day upkeep is minimal — once your agents are configured, they largely run themselves. What we tend to see is that once partners start seeing early results, the natural next step is expanding what the agents are responsible for, growing from one function to many.
We work with institutions across the full spectrum, from small liberal arts colleges to large research universities. The platform is built to flex to your institution's size, structure, and workflows, not the other way around.
We measure ROI based on what matters most to your institution, such as staff capacity, operational efficiency, and outcomes tied to your specific goals. As more of your institutional data is connected, the measurable impact expands beyond the initial use case. We deliver a formal review each cycle to ensure we are tracking to your goals.
Partners are seeing meaningful gains in staff capacity, operational efficiency, and the outcomes most important to their goals, whether that's enrollment, retention, or service quality. Institutions that start narrow typically expand across departments within their first year.
We build on top of existing AI models rather than training new ones, which avoids the most energy-intensive part of AI development. The incremental environmental impact is negligible and easily offsetby modest sustainability measures most institutions already have in place.
People engage with the agent on their own schedule and through their preferred channel, not just during office hours. Because the agent is grounded in a structured view of your institution's data, interactions are genuinely personalized and accurate, with a clear escalation path to a human when needed.
Traditional chatbots are reactive: they wait for a question and return an answer. CollegeVine agents are proactive: they can take action, follow up, and move a process forward without a student or staff member having to initiate every step. That's a fundamentally different model, and it's what makes the difference between a tool that answers questions and one that actually drives outcomes.
